Pipedrive alternatives, compared for small teams

Pipedrive alternatives for small teams, with one set up for you

The best Pipedrive alternative depends on why you are leaving: price per seat, the add-ons, or the marketing and texting that sit outside it. This page matches the main alternatives to the team each one suits, with Pipedrive's prices checked on 19 October 2026. One of them is ours: OmniFlow puts your pipeline, email, texting, booking and follow-up in one platform, built on GoHighLevel, and sets it up for you for $99 a month plus usage.

The short answer first

What are the best Pipedrive alternatives?

The best Pipedrive alternatives in 2026 are HubSpot or Zoho CRM for a broader suite on a budget, Close for phone-heavy outbound sales, monday CRM for teams that run projects after the sale, Copper for teams that live in Google Workspace, Attio for a flexible data model, Salesforce for enterprise depth, and GoHighLevel or OmniFlow for service businesses that follow up by text, email and booking. Pick by why you are leaving and how many people need a seat.

Every product above can work well. The wrong choice is usually a good tool built for a different team, which is why the Pipedrive alternatives worth shortlisting change so much between a three-person clinic and a twenty-person sales floor.

Why teams move

Why do small teams look for a Pipedrive alternative?

Small teams rarely leave Pipedrive because the pipeline is bad. They leave because the rest of the job, such as email campaigns, lead capture forms, texting and booking, sits in add-ons or other apps, and each one adds a line to the bill and another login to manage.

What Pipedrive does well

Pipedrive is a strong sales CRM, and pretending otherwise would make this page less useful. Its visual pipeline is clear, deals move with a drag, and its pricing page lists more than 500 integrations and a free 14-day trial with no credit card required (Pipedrive, 2026a). For a team whose day is deals, calls and next steps, it does the core job well.

The price is per seat, by tier

On 19 October 2026, Pipedrive's pricing page showed four plans billed annually per seat: Lite at €168 a year, Growth at €468, Premium at €708 and Ultimate at €948, which works out to €14, €39, €59 and €79 a seat a month (Pipedrive, 2026a). The page showed euros to our check; Pipedrive shows local currency by region, so your page may show dollars or pounds. Every new hire adds a seat, and features such as email sequences sit on Growth and above.

Marketing and lead capture are add-ons

Email marketing campaigns come through the Campaigns add-on, listed from €13.33, and the LeadBooster add-on for capturing leads is listed from €32.50, with lead generation built into Premium and above (Pipedrive, 2026a). Projects, Web Visitors and Smart Docs are further add-ons. Each one is fair on its own. Together they turn a simple sales tool into a stack.

Texting lives outside it

Text messaging in Pipedrive usually comes from third-party apps in its Marketplace, such as ClickSend SMS, which need their own account and billing (Pipedrive Marketplace, 2026). For a service business that confirms bookings and chases quotes by text, that is one more tool to connect and pay for.

The alternatives

Which Pipedrive alternative fits which team?

HubSpot and Zoho CRM fit suites, Close fits outbound callers, monday CRM fits project-led teams, Copper fits Google Workspace users, Attio fits custom data, Salesforce fits enterprises, and GoHighLevel or OmniFlow fit service businesses. Each one below wins for one kind of team. We list what each is best at and the trade-off you accept, and we quote a price only where we read it on the vendor's own pricing page on 19 October 2026.

HubSpot: sales and marketing on one record

HubSpot appeared first in Google's AI Overview for this search on 19 October 2026, picked for its free tools and for joining sales and marketing on one contact record. It is a good move if marketing is the gap Pipedrive leaves. The trade-off is cost as you grow: seats, marketing contacts and tier upgrades all move the bill, and our HubSpot alternatives page explains how that adds up for a small team.

Zoho CRM: the configurable suite

Zoho CRM suits a team that wants deep customisation and a wider family of business apps from one vendor. It has a free plan for a few users, which makes it an easy first test. The trade-off is setup: it is a deep product, and you or a consultant will configure it.

Close: built for the phone

Picture a rep who spends the afternoon working down a call list, texting the people who did not pick up. Close is built for that day: calling, texting and email sequences sit inside the CRM rather than in add-ons. It is still a sales tool first, so booking pages, forms and marketing email usually sit elsewhere.

monday CRM: sales into delivery

monday CRM suits teams whose work continues after the deal, such as agencies and installers who hand a won deal to a delivery board. The pipeline and the project live in one workspace. You build the boards and automations yourself.

Copper: for Google Workspace teams

If your team already runs its day in Gmail and Google Calendar, Copper is the least disruptive switch on this list, because it captures contacts and activity from them. We would not pick it for a business that follows up mainly by text, since texting and marketing automation are not its focus.

Attio and Salesforce: flexible data or enterprise depth

Attio gives a startup a flexible, record-based CRM it can shape around its own data, with AI features built in. Salesforce sits at the other end, with the depth, permissions and governance that large companies and dedicated admins need. Both reward the time a team puts into configuring them, and both are more system than a ten-person service business usually needs. Check their current plans on their own pages.

GoHighLevel: everything in one account, built by you

GoHighLevel puts the CRM, pipeline, texting, calendars, forms, funnels and automation into one account. Its pricing page lists Starter at $97 a month, Unlimited at $297 and Agency Pro at $497, with usage such as texts and calls billed on top (HighLevel, 2026). It suits agencies and service businesses. The catch is the build: a new account starts close to empty, and someone has to design and test every workflow.

OmniFlow: the same platform, set up for you

OmniFlow is GoHighLevel already built around your business. We configure the pipeline, booking, forms, email and text follow-up before you log in, and routine changes after launch are included in $99 a month or $999 a year. Usage is billed separately. It is the right fit for a small team that wants the pipeline and the follow-up in one place and does not want to become its administrator.

Price, plainly

How much does Pipedrive cost a six-person team in year one?

A six-person team on Pipedrive Growth, where all six need a seat, pays €2,808 in its first year for the plan alone at the published annual rate, before any add-ons or texting (Pipedrive, 2026a). Add email campaigns and lead capture, and the bill grows from there. OmniFlow's yearly plan is $999 with setup included, before usage.

Pipedrive figures are from its pricing page, checked 19 October 2026, where they showed in euros, excluding VAT (Pipedrive, 2026a). OmniFlow prices are in US dollars. Add-on prices are listed as "starting from" and the pricing page does not state their billing period, so they are left out of the year-one total.

Three notes keep the comparison fair. First, a team that only needs the pipeline pays less: Lite was €168 a seat a year on 19 October 2026, and it may be all a pure sales team needs (Pipedrive, 2026a). Second, the Pipedrive total leaves out add-ons and texting, so it is the floor, not the ceiling. Third, OmniFlow's $999 is also not the whole bill: phone calls, text messages, email delivery and AI usage are billed by consumption, and AI voice agents, AI chat agents and complex automations are quoted after a scoping call. Ask us for a usage estimate at your real volumes before you compare totals.

Done for you

Is OmniFlow a good Pipedrive alternative if you want it set up for you?

Yes, if your team sells a service, follows up by call, text and email, and would rather have the system set up for you than assemble it from a CRM and add-ons. OmniFlow is built on GoHighLevel, and we say so up front. If you run a pure outbound sales team and Pipedrive's pipeline is all you use, stay with Pipedrive.

The difference is what you receive on the first day. Most software sends a login, a trial and a help centre. With OmniFlow, the configuration is the product, and it is part of the $99, not a project you run yourself.

Your pipeline, as you know it

Stages and fields named the way your team already talks about deals, rebuilt from your Pipedrive setup.

Booking, forms and landing pages

Your calendar, forms and pages connected, so a form fill turns into a booking and a deal.

Email and SMS follow-up

The core sequences you need, written and tested in one place, with no separate texting app.

Replies when nobody is at a desk

New leads get a fast first reply, including missed call text back.

Your Pipedrive data, imported

Your export brought in with people, organisations, deals and custom fields mapped, so the data works on day one.

Changes after launch

Routine changes to stages, forms and sequences are made for you in the monthly price. New AI agents and complex automations are quoted separately.

Pipedrive details are from its pricing page and Marketplace, checked 19 October 2026 (Pipedrive, 2026a; Pipedrive Marketplace, 2026). Pipedrive sets and changes its own plans.

Two rows favour Pipedrive, and you should weigh them. Its integration marketplace is larger, and its pipeline view is about as clean as sales software gets. And Pipedrive leaves you in full control of your own account, while we build and manage yours; your contacts, messages and automations remain yours under our terms. If you want GoHighLevel itself with full admin control and plan to build it, read our GoHighLevel alternative page first.

Fit before features

Who should switch from Pipedrive, and who should stay?

Switch when the pipeline is fine but the follow-up around it, such as email, texting, forms and booking, is spread across add-ons and other apps. Stay when your team is a pure sales team and the pipeline is the whole job.

A good fit for OmniFlow

Service businesses, consultants, coaches, clinics, real estate teams and local trades, where a slow reply is a lost job and follow-up happens by text as often as by email. Agencies running their own pipeline next to client work fit too, and our CRM for agencies page covers that version. The common thread is reply speed, and our guide to speed to lead explains why the first reply matters so much.

Stay with Pipedrive if

Your team does outbound or account-based selling and spends its day in the pipeline; you depend on Marketplace apps that only connect to Pipedrive; you rely on its forecasting and deal reporting; or Lite or Growth already covers everything you do. In those cases the cheaper move is often trimming add-ons, not migrating.

Pick another alternative if

Your reps live on the phone (Close), your work continues into project delivery (monday CRM), you work inside Google Workspace (Copper), or you want to configure a broader suite yourself (HubSpot or Zoho CRM). An all-in-one platform you will not use in full is the wrong purchase.

Switching

What does switching from Pipedrive to OmniFlow involve?

Switching is mostly a data job. We import your people, organisations, deals, pipeline stages and custom fields from a Pipedrive export, then build your booking, forms and follow-up around how you work.

Book a 15-minute walkthrough

We look at how leads reach you today, what you use in Pipedrive, and which add-ons and apps sit around it.

We map and import your data

People, organisations, deals, stages and custom fields come across, and we check the counts against your export.

We build and test the workspace

Pipeline, booking, forms, email and text follow-up, tested with real enquiries before customers see them.

You move over, and we stay on it

Once leads flow end to end, you point your website forms at OmniFlow and close Pipedrive when you are ready.

Some parts do not move cleanly. Synced email threads, call logs and activity history do not transfer in full through a standard import, and Pipedrive automations, web forms and Campaigns templates are rebuilt in OmniFlow rather than copied. Anything that points at Pipedrive from outside, such as embedded forms, the chat widget and Marketplace apps, gets listed during setup so nothing breaks the week after you move. Keep Pipedrive open for the first few weeks, and export any history you must retain before you cancel.

Questions

Pipedrive alternatives: questions

Is OmniFlow built on GoHighLevel?

Yes. OmniFlow is a product of Integral Technologists built on the GoHighLevel platform, so the CRM, pipeline, email, texting, calendars, forms and automations run on GoHighLevel's technology. What you receive is different: GoHighLevel sells the platform for you to build, while OmniFlow gives you the same platform already set up around your business, with routine changes included, for $99 a month. We say it plainly because the setup is what you pay us for.

What are the downsides of using Pipedrive?

The main downside of Pipedrive for a small service business is that the pipeline is only part of the job. Email campaigns come through the Campaigns add-on, lead capture through LeadBooster below Premium, and texting usually through third-party Marketplace apps, each with its own cost (Pipedrive, 2026a; Pipedrive Marketplace, 2026). Pricing is per seat, so the bill grows with every hire. For a pure sales team, none of that may matter.

Which CRM is better, Pipedrive or HubSpot?

Pipedrive is better for a sales team that wants a clean, fast pipeline at a modest per-seat price. HubSpot is better when sales and marketing need to share one contact record and you will use its marketing tools and reporting. HubSpot's free tools are a stronger free start, while its paid tiers usually cost more as seats and contacts grow. For a service business that wants both plus texting and booking, set up for it, OmniFlow is a third option.

Is Pipedrive free to use?

No. Pipedrive has no free plan, but it offers a free 14-day trial with no credit card required (Pipedrive, 2026a). After the trial you pay per seat, from €168 a seat a year on Lite at the annual rate shown on 19 October 2026. If you need a free start, HubSpot's free tools and Zoho CRM's free plan are the usual picks, while OmniFlow costs $99 a month with the setup included.

Is there a cheaper alternative to Pipedrive?

Yes, depending on what you count. For the pipeline alone, free plans from HubSpot and Zoho CRM cost less, though you configure them yourself. For a team of several people that also pays for campaigns, lead capture and a texting app, a flat-priced all-in-one platform can cost less in total. OmniFlow is $99 a month or $999 a year for unlimited users, with phone, SMS, email delivery and AI usage billed by consumption.

What is the best Pipedrive alternative for a small business?

The best Pipedrive alternative for a small business is the one that fixes the reason it is leaving. For calling, Close. For marketing on the same record, HubSpot. For a low-cost suite you configure yourself, Zoho CRM. For project delivery after the sale, monday CRM. For pipeline, email, texting, booking and follow-up in one system that is set up for you, OmniFlow.

Can I move my Pipedrive data into OmniFlow?

Yes, for most of it. People, organisations, deals, pipeline stages and custom fields come across through an import we run with you, and we check the record counts against your Pipedrive export. Synced email threads, call logs and full activity history do not transfer through a standard import, and automations and web forms are rebuilt rather than copied. Keep Pipedrive open until real leads flow end to end in OmniFlow, then close it.

Get started

Keep the pipeline, lose the add-on stack

If your Pipedrive bill is now seats plus add-ons plus a texting app, one configured platform at a flat price may fit better. Book a 15-minute walkthrough and see the workspace we would set up for your business, for $99 a month plus usage. If Pipedrive is still the right answer for you, we will say so.
